Job Description :
The Executive Assistant’s core responsibility is to anticipate, prioritize, and assist the VP of HR and the VP of Platform Engineering. The individual plays a critical role in managing the smooth functioning of both the VP’s teams and must be proficient in a fast paced, high demand organization. The EA must operate with finesse, flawless judgment, and confidentiality at all times.

Duties and Responsibilities:

  • Daily advanced calendaring, meeting preparations, and assisting the Executives with anticipating their day (meeting agendas, conference/video call meeting setup, etc.)
  • Effective collaboration and communication with other Mozilla Senior Executives and their Assistants
  • Arrangement and coordination of complex international travel schedules and trip logistics
  • Support during international trips with schedule and route changes, when needed during US night and weekend hours
  • Triaging Requests: request screening, acknowledgement, routing via email and phone and other communication means (sms text, etc) all the way through request completion
  • Overall understanding of management of department operations, policies and procedures
  • Support of other executives, directors, or teams at the discretion of the VP's, on a temporary or permanent basis
  • Travel to accompany and support teams as needed, including international travel, up to 4 times a year
  • Based in San Francisco, with one day a week in Mountain View.

Specific Skills and Experience Required:
  • Bachelor’s Degree or equivalent education, and 3 years of relevant work experience
  • Executive support experience in the technology space
  • Experience with web-based scheduling and collaboration tools
  • Exceptional and proven organizational and time management skills; attention to detail, world-class follow-through
  • Extensive experience with arrangement and coordination of complex schedules and logistics, preferably across multiple timezones.
  • Effective communication, listening skills, simplifying details and requests
  • Critical anticipation and judgment skills
  • Demonstrated passion for trying, learning, improving, and sharing previous best practices
  • Remain poised under pressure and able to create a positive atmosphere.
